PTF Leadership

• Plan, facilitate, and lead PTF meetings
• Work with committee chairs to plan and coordinate events, funding, and volunteers
• Serve as liaison between the PTF and the Head of School/Principals/Facilities Manager
• Maintain PTF Calendar
• Ensure PTF budget is adequately funded with raising funds and manage expenses

The responsibilities of the PTF Vice President encompass, but are not limited to, the following duties:

• Support all efforts of the President, Secretary, Treasurer and Coordinators
• Manage extra events such as end of the semester/year Middle and Upper School activities

The responsibilities of the PTF Hospitality Coordinator encompass, but are not limited to, the following duties:

• Manage the hospitality events of the PTF including planning, purchasing, budget, time deadlines, volunteers, food, etc.
• Serve as the creative chair to help design events along with logistics and advertising
• Ensure coverage of events such as exam week treats, staff birthdays, holiday treats, Teacher Appreciation Week, etc.

The responsibilities of the PTF Secretary encompass, but are not limited to, the following duties:

• Responsible for all communications
• Taking notes at each meeting and distributing to the PTF Board
• Update weekly newsletter
• Maintain calendar
• Initiate school-wide communications such as email for activities, ticket order forms, flyers for events, etc.
• Coordinate extra volunteers as needed

The responsibilities of the PTF Treasurer encompass, but are not limited to, the following duties:

• Establish a budget annually based on funds raised
• Manage budget, income, and expense reimbursement
• Financial reports to Board and bi-annual schoolwide PTF meetings
• Manage finances of fundraising projects such as Fall Festival and PTF Membership drive including ticket and sponsor income and expenses
• Track and ensure Room Parent budgets as well as Upper School and Middle School budgets are correctly allocated and reimbursed
• Work with school Finance office to ensure funds are correctly deposited or debited

The responsibilities of the PTF Room Coordinator encompass, but are not limited to, the following duties:

• Notify all Room Parents at the beginning of the year (PTF does not select Room Parents)
• Train all Room Parents on the responsibilities: create a training packet and hold training sessions.
• Serve as the PTF liaison for Room Parents including communication, organizing events and volunteers (such as Fall Festival volunteers and baskets, teacher lunch coverage, etc.)
• Ensure Room Parent budgets are maintained and accurately used

The responsibilities of the PTF at large members encompass, but are not limited to, the following duties:

• At large members support the overall efforts of all Board members, filling in where the needs are at a given time such as volunteering, shopping for supplies, etc.
• Great opportunity to make a significant contribution but are not able to attend weekly meetings
• A critical voting member of the Board that helps in all areas
